During Your Appointment
In-Person Visit

Medical Clinic appointments:

  • Once you arrive at the appropriate clinic area, the nursing staff will perform a quick physical assessment (temperature, blood pressure, pulse) and ask a few questions about your illness symptoms or medical need.
  • A medical provider will then visit with you and discuss your illness further, ask about medical history, then perform an appropriate exam for your illness. A comprehensive exam is usually done as part of an annual physical exam.
  • Average appointment length: 15 minutes. Based on your needs, some appointments may be extended to accommodate. If we anticipate an extended delay, SHS staff will notify you and offer options to suit your schedule.
  • If lab work or imaging tests are recommended, the provider will discuss these with you, including the cost, whether the tests are available at SHS, how results will be received, and how soon to expect results.
  • For individuals with multiple medical concerns, time constraints may prevent the provider from addressing all concerns. Another visit may be scheduled for further evaluation.
  • At the end of your appointment, you should understand your diagnosis and the proposed plan of care. Any recommended medications can be purchased conveniently at the SHS Pharmacy or elsewhere, if desired.
  • A follow-up appointment may be arranged before you leave.
  • After your visit, you may continue to follow-up with your provider by phone or through secure messaging via the Patient Portal.

Nutrition Services, Physical Therapy, Preventive Medicine appointments: the structure of each appointment varies based on the needs of the student.

Radiology appointments:

  • Apparel: If your apparel may cause an interference with the xray or ultrasound exam, you may be asked to change into a gown or shorts provided to you upon arrival.
  • During the exam:
    • Depending on the needs of the exam, you may be asked to lie down on a table or sit in a chair for the duration of the exam.
    • Ultrasound exams: warmed gel will be put on the body part to be scanned; a smooth probe will take photos as it is moved across your skin; exam can take 15 minutes – 1 hour to complete.
    • Xray exams: the appropriate body part will be lined up under the xray machine where images will be taken; exam can take 15 – 30 minutes to complete.
Telemedicine/Virtual Visit

Medical Clinic appointments:

  • Once you are connected with your medical provider, they will ask questions to confirm your location in Texas, your consent for the visit, and if you feel comfortable about speaking confidentially in your location.
  • The medical provider will then visit with you and discuss your illness further, ask about medical history, then perform a limited exam. Since telemedicine does not allow for a close physical exam, most of the exam is visual. Comprehensive physical exams cannot be done through telemedicine. Sometimes an in-clinic follow-up exam is needed, and will be recommended during the visit.
  • A follow-up appointment may be arranged before you end the visit.
  • After your visit, you may continue to follow-up with your provider by phone or through secure messaging via the Patient Portal.

Nutrition Services / Dietitian appointments: the structure of each appointment varies based on the needs of the student.

Missed Appointment / Late Arrival / Late Cancellation Fees

Patients are asked to arrive 15 minutes prior to the appointment time to complete the check-in process. If patients wish to cancel their appointment, they must do so at least two hours ahead of the appointment time so that other students have an opportunity to be seen. Students can cancel their appointment on the patient portal or by calling Patient Services during business hours at (979) 458-8310.

  • No Show Fee: If a patient does not show for an appointment, a $25 no show fee will be applied.
  • Late Arrival: If a patient arrives late (5 minutes past the appointment time), a $25 no show fee will be applied as the original appointment could not be kept. Staff will attempt to reschedule the patient or work them into the nurse clinic, if applicable.
  • Late Cancellation Fee: If a patient cancels within 2 hours of the appointment time, a late cancellation fee of $25 will be applied.

Telemedicine is available for students to utilize while they are physically located in the state of Texas. Telemedicine allows a student to consult a medical provider from the comfort of their own home. These appointments are held via video (Zoom) and can address a wide variety of medical conditions. Schedule a telemedicine appointment by visiting the patient portal/appointment page. Telemedicine appointments are available Monday-Friday, 8am-7pm.

Please note that there will be a $25 no show fee if a student does not show for a scheduled appointment or if a student presents late.

Medical Primary Care

The Medical Clinic offers a wide range of services, such as diagnosis and treatment for allergies, cold, flu, and other respiratory infections; strains and sprains; depression and anxiety; general and activity physicals; sexual health services; transgender care and more.

SHS does not provide dental or optical services. If a student needs assistance regarding community healthcare resources, please call Patient Services at (979) 458-8310.

Students may walk-in and a nurse will be available to assess your needs and determine the best plan of care for you, but you are not guaranteed to see a provider that same day.  Pre-booked medical primary care appointments are still highly recommended.

Sexual Health

Preventive sexual health services such as routine cervical cancer screening (Pap smear), sexually transmitted infection screening, HIV PrEP, HIV PEP, and counseling regarding healthy lifestyles are available to students. SHS has the capability of evaluating and managing many common health issues, which include: abnormal menstruation, abnormal Pap smears, pelvic pain, ovarian cysts, contraceptive issues, infections, infertility, breast problems, perimenopause & menopausal conditions.

SHS does not manage pregnancy, but can diagnose pregnancy and refer for prenatal care. Pregnant students can utilize SHS for non-pregnancy related concerns when appropriate and for postpartum care.

Emergency contraceptives (Plan B) are available at SHS without a prescription. If a student is in need of prescription emergency contraception (Ella) or has other questions regarding contraceptives, please schedule an appointment for a sexual health visit.

Travel Consultations

Travel consultations provide students traveling out of the country the opportunity to receive medical guidance and recommended immunizations before their scheduled departure. The ideal time to schedule a travel consultation is 8 weeks prior to departure to ensure adequate time for completing vaccine series as recommended by your travel medicine provider.

Students are encouraged to check insurance coverage prior to the visit and bring a copy of all immunization records. Travel Consultations must be scheduled by calling Preventive Medicine at (979) 458-8345.
